The Institute of Molecular and Clinical Ophthalmology Basel (IOB) is seeking a highly motivated, versatile administrative support with a strong background in communications.

As a member of our administrative team, you will focus primarily on communications tasks while supporting broader administrative functions in a dynamic environment. Your communications flair will be central to this role, as you craft compelling messages, manage diverse information channels, and support our internal and external communications, liaising with relevant media and agency contacts as necessary. You are proactive, thoughtful, and have an action-oriented approach. You are sensitive to the motivations of others and show a strong sense of responsibility to IOB.

Your responsibilities

  • Support PR-initiatives to consistently disseminate content to the public via social media, web, press releases, interviews, events as well as other activities.
  • Revise, conceptualise and implement changes to IOB's internet and intranet presence, ensuring audience-focused information and simple maintenance.
  • Answer and process media inquiries
  • Design and implement IOB's internal digital newsletter
  • Develop and maintain a comprehensive communications contact database
  • Plan, organise and implement public relations events or activities.
  • Support internal key stakeholders in day-to-day operational communication matters.
  • Provide executive administrative support to IOB's senior management and team leaders. This will include presentations, letters, memos, meeting minutes, reports, funding applications, contracts, and IP matters.
  • Organise and manage diverse events and meetings, interactions with our funding entities and third parties. This will include complex calendar and travel management, as you collaborate closely with various members across the IOB community, from team leaders to colleagues in supporting roles.
  • Role model strong values: display the highest standards of integrity; maintain high standards of confidentiality inside and outside IOB.

Requirements

  • Academic educational background (University level)
  • Experience in communication positions preferably related to science
  • Experience in social media, storytelling & writing, media relations and/or visual communications
  • Ability to develop clear, concise, consistent, and engaging messaging
  • Digital and tech-savvy with organizational and project management skills
  • Excellent written and oral communication skills, both in English and German
  • Excellent interpersonal and communication skills when interacting with internal and external stakeholders at all hierarchical levels and always ensuring confidentiality requirements
  • Solid knowledge of typical office IT programs and willingness to learn new tools
  • Skilled in managing workflows using Google Workspace tools
  • Excellent problem-solving skills
  • Proactive, organized, engaged and highly independent approach

  • Agile, positive and thoughtful personality
